Our client, a private education provider operating multiple campuses across Ontario, Canada, serves more than 400 students of all ages, from young children to adults. Their legacy application could no longer keep pace with how the organization actually runs day to day: records, scheduling, attendance, progress and family communications were scattered across spreadsheets and disconnected tools, and reporting was slow and unreliable. Leadership engaged us to replace the legacy system with a single modern platform that could run the entire operation, migrate years of history with zero loss, and provide a foundation that could scale to additional locations - and eventually to other organizations - under strict data isolation.

We designed and built a production, multi-tenant Student Information System from first principles - a modern, bilingual, mobile-first web application that runs the provider's entire operational spine, delivered end to end from data model through migration to launch.

  • A bespoke progress-tracking engine that follows each student's advancement through a structured curriculum, with teacher-verified milestones, an append-only verification ledger, and a configurable rewards system.
  • Smart attendance tied to scheduled sessions, with manual override.
  • Bilingual (English and French) family communications - templated and broadcast messaging with scheduling, delivery and read status, and full conversation history.
  • Guided term-registration and re-enrolment campaigns with reminders and structured responses.

Data, Migration & Analytics

  • A derive-from-facts analytics layer feeding in-app dashboards and external business intelligence, covering progress velocity, attendance, retention and cohort benchmarking.
  • An archive-never-destroy retention model, so historical reporting is preserved even as students and records change over time.
  • A complete, repeatable migration from the legacy platform - including identity de-duplication and contact normalization - completed with zero historical data loss.
  • Hosted technical documentation, a callable API reference and an in-app help centre for long-term maintainability.
