Real-Time Healthcare Inventory Management

Real-Time Healthcare Inventory Management

Project Overview

During the COVID-19 pandemic, our client, a major government body responsible for managing pandemics and crises, faced significant challenges in tracking healthcare resources across the city. The lack of visibility into the availability of critical resources such as beds, medical equipment, and medications resulted in inefficient operations and increased risks to patient safety. To address these issues, our client engaged us to develop a real-time inventory management system that integrates with all health providers in the city, providing accurate, up-to-date information to support decision-making and crisis response.

The Challenge

  • Lack of visibility into the availability of healthcare resources.
  • Inefficient dispatching of resources, such as ambulances to hospitals without available beds.
  • Increased risks to patient safety during transfers.
  • Need for a system that integrates with multiple health providers and retrieves real-time data.

The Solution

We designed and built a comprehensive data warehouse with multiple data marts to manage and track various healthcare resources. The solution included the following key elements:

Data Elements Managed

  • 1 Hospital Resources: Wards, rooms, mortuaries, ambulances, on-call staff.
  • 2 Diagnostic Equipment: Imaging machines, CT scan machines.
  • 3 Durable Medical Equipment: Beds, nebulizers, insulin pumps.
  • 4 Treatment Equipment: Infusion pumps, gowns, gloves, masks.
  • 5 Life Support Equipment: Ventilators, dialysis machines.
  • 6 Medication Supplies: Controlled and semi-controlled medications.

Scope of Work

  • Design, Build, Test & Deploy Canonical Interfaces — real-time APIs, batch-based near real-time APIs, and reporting & reconciliation APIs to gather, update, and query resource status.
  • Design, Build, Test & Deploy Reports and Dashboards: Provide comprehensive and actionable insights.
  • Onboard 80 Data Sources: Integrate with healthcare providers, pharmacies, and suppliers.

Architecture

  • Implemented a microservices architecture.
  • Built on a cloud platform to ensure scalability, security, and future expansion capabilities.

The Results

The project was delivered using an agile methodology, achieving remarkable results. Within the first week, we onboarded 20 hospitals, enabling them to start feeding data into the system, significantly improving visibility and patient safety.

Outcomes

  • Increased Visibility: Real-time tracking of healthcare resources across the city.
  • Enhanced Patient Safety: Reduced risks by ensuring resources are available when and where they are needed.
  • Operational Efficiency: Streamlined operations and improved crisis response management.
  • Strategic Importance: The system has become a core component of the city's crisis management infrastructure, with dashboards accessible to the highest ranks in city government.

Conclusion

Our real-time healthcare inventory management solution has transformed the way our client manages and allocates critical healthcare resources. By providing accurate and timely data, we have enabled more efficient operations and improved patient safety, positioning the system as a vital tool in the city's crisis management strategy. This project showcases our expertise in technology design and development, delivering world-class solutions that meet the most demanding requirements.
